In Mekari Qontak, you can manage sending campaigns to your target audience, from creating templates, preparing recipient lists (WhatsApp recipients), to sending campaigns.

Before you start sending WhatsApp campaigns, make sure you have completed the following:

  1. Integrate your Qontak account with WhatsApp Business API (WABA)

    a. How to Integrate Qontak with WhatsApp API
    b. How to Integrate WhatsApp Business to Qontak via Meta CoEx

  2. Create WhatsApp templates with categories according to the message purpose: Marketing, Utility, and Authentication
    a. Authentication category templates can only be sent via API.
    b. List of WhatsApp template types that can be sent in bulk through the Campaign, Marketing Opt-in, and Carousel menus.
    c. The “Follow-up” template type cannot be sent through the Campaign menu.

  3. Ensure the template has been approved by Meta before you can use it for sending Campaigns.

  4. Prepare your WhatsApp campaign recipient data. You can create recipient data using 2 (two) methods:

    1. Import CSV / XLS file manually
      This method can be used if you do not store and manage campaign recipient data, along with information to be used as campaign variables (if any), in the Customers menu in Qontak.

    2. Direct select customer
      This method can be used if you manage campaign recipient data, along with information to be used as campaign variables (if any), in the Customers menu in Qontak.

Important
If you send campaign messages using new templates with the Marketing category to a large number of recipients, Meta will apply Template pacing (effective since October 12, 2023).  
With template pacing, Meta will first send the campaign to a small portion of the total recipients. If the initial sending shows good performance, Meta will continue sending to the remaining recipients.

If you have met all the above conditions, follow these steps to create a campaign:

  1. Log in to your Mekari Qontak account.

  2. Go to the Campaigns Menu, then you will enter the "WhatsApp".

  3. Then, click “Create campaign”

  4. Next, you will be directed to the first page of campaign creation, which is Message & audience. Fill in all the available fields.

1 Campaign name

Enter the campaign name to identify the campaign to be sent.

2 Sender

Select the WhatsApp API number you want to use as the sender number. You can only select numbers with Connected status.

After choosing the Sender, you can see the Phone Number Quality for the selected number. Please evaluate the use of this number for the campaign process if the status shows a “Low” quality indicator.

3 Audience

Determine the target recipients of the WhatsApp campaign, also known as recipient lists.

4 Message template

Select the template you want to use to send to the campaign recipient list.

Templates can only be selected after you choose a Sender. The system will provide a list of pre-approved templates according to the selected Sender.

Like the Sender, Templates also have a quality rating, obtained through Meta’s evaluation of recipient responses to the received campaign messages.

- Templates that have never been sent will have a Neutral status
- You must evaluate the template content before using it in a campaign if the status shows “Medium” or “Low” quality indicators.



- You must perform a Confirm update on templates that have been reclassified by Meta. Learn about template recategorization.

5 Content

Preview the message content along with details that need to be filled in (if any), including:

  1. Media upload: upload image, video, or document data according to the media type you selected when creating the template.
  2. Variable: select audience data objects to fill in the variables in the template. Learn about template variables

     
  3. Call-to-action: Review the Call-to-action information (phone number and/or URL). If you use a dynamic URL, you must enter the URL variable in the available field.

  4. Quick reply: Check the naming of the quick reply you use. When recipients click one of the available quick reply buttons, you can monitor the quick reply response results through the Broadcast Report menu.
  5. Products: Select products listed in the WhatsApp catalog. How to send carousel templates.
6 Preview

Preview the appearance of the campaign message that will be received by the recipients.

  1. After completing the information above, click “Continue” to proceed to the second page, “Deliver & cost”

7 Campaign assignment (optional)

Select the name of the division or team you want to assign as the assignee for conversations when customers reply to your Broadcast message.

8 Sending options

Choose the sending time option, as follows:

  1. Send now: send the campaign immediately

  2. Send later: schedule the campaign to be sent on a specific date and time.
    a. For audiences with recipient lists type, you can schedule the campaign at least 30 minutes from now.
    b. For customer segment type (coming soon), you can schedule the campaign at least 1 hour from now.

  3. Send recurring: schedule the campaign to be sent on specific dates and times, up to a maximum of 30 schedules.

Important:
- To maintain message sending volume, if you use the Send Now option, you can only send a campaign 5 minutes after the previous campaign (Send Now option) was created.
- You can cancel scheduled campaign sending up to 30 minutes before the scheduled sending time.

9 WhatsApp balance

View your remaining WhatsApp balance. If you have the role access: Owner or Admin, you will see a Top up button to perform a self-top up of your WhatsApp balance.

10 Campaign cost estimation

Estimated cost information you need to pay if all messages are successfully delivered (double checkmarks) or read (blue double checkmarks) by your target audience. Details include:

  1. Recipients: Number of customers in the audience list.

  2. Estimated campaign cost: Estimated total campaign cost if messages are delivered to all audience, including the platform fee.

  3. Total message price: Total campaign cost if messages are delivered to all audience, excluding the platform fee.

  4. Platform fee: service fee for sending campaigns through Qontak. The platform fee amount deducted will be calculated prorated based on the number of audience who receive the message.

Important
There is no price change from the previous mechanism. The system only displays the total campaign price details before and after the applicable platform fee.

  1. If all information is correct, click “Send campaign” to proceed.

  2. The campaign has been successfully created. You can view the list of created campaigns on the main WhatsApp page.

    - Campaigns with Send Now and Send Later options can be viewed on the “One-time campaign” tab.

    - Campaigns with the Send Recurring option can be viewed on the “Recurring campaign” tab.

    - You can filter campaign data based on: category, status, and keywords by campaign name.
    - If a campaign is in process but not finished, it will be marked with the status Partial Completed.
