The Export and Download Customer Data features allow you to export customer data from the Customers module based on a created layout. With this feature, you can specify the information to be included in the export results according to your needs.
Through the Export Customer Data feature, you can:
Export up to 10,000 customer data entries from the Customers module.
Select a layout to determine which fields will be included in the export results.
Choose the export file format (XLSX or CSV).
Run the export process in the background so you can continue other activities.
Download the export results via email, in-app notifications, or the Export History page.
Important
Before using the Export Customer Data feature, please note the following:
- Ensure you have permission to access Export Customer Data. Otherwise, the Export button will not be displayed.
- The export process can only be performed through the web application and is not yet available on the mobile app.
- Make sure your account uses a valid email address, as the download link for the export results will be sent to that email.
- Ensure there is at least one customer data entry in the Customers module that can be exported.
- To receive notifications on the mobile app, make sure the necessary notification settings are enabled.
Here are the steps to Export and Download Customer Data.
Log in to your Qontak account, then select the Customers menu.
Then click the All customers submenu.
On the Customers page, select the customer data you want to export by checking the checkbox next to the customer's name. You can select up to 10,000 customer data entries in one export process. After selecting the data, click "Actions", then choose "Download selected".
If the number of customer data entries reaches or exceeds 10,000, the system will display the option “Select all first 10,000” according to the order of the data currently displayed.
On the Export Customer Data page, select the layout to use. Then, specify the fields to be included in the export results. Fields are grouped into Customer Info, Default Fields, and Custom Fields categories, while fields that are not available will be shown as disabled. Here is an explanation of each field.

You cannot uncheck these mandatory (required) fields, so they will always be included in the exported file.
The system will display the field name and field type for each custom field. An asterisk (*) after the field name indicates that the field is mandatory (required). Newly created custom fields will be automatically selected, while mandatory custom fields cannot be removed and will always be included in the exported file. |
After completing the export settings, click “Download” to start the data export process.
Next, the system will display a notification that the export process has started. The export runs in the background, so you can close the page or continue other activities without waiting for the process to finish.
The system will also send notifications in the General tab in both the web app and CRM Mobile app. Unopened notifications will be marked with a red dot and will disappear once you open the notification.

Additionally, you can monitor the download progress by clicking “Track progress” on the following banner.
This page displays the history of export processes along with their statuses. Once the export process is complete and the status changes to Completed, the export file will be available for download via the Download button.
The Export History page shows the history of export processes performed by all users within the same organization. This information can be viewed in the Exporter column, allowing you to see which users performed the export for each record.
