How to Apply Required Fields per Stage in Pipeline Tickets

The Required Fields per Stage feature allows you to specify columns (fields) that must be filled out at each stage (stage) in the ticket pipeline. This ensures that agents can only move tickets to the next stage after all required information has been completed, keeping ticket data complete and making the ticket handling process more structured.

A. How to Set Required Fields per Stage

  1. Log in to your Mekari Qontak account, then select the “Settings” menu.

  2. Then choose the “Customization” submenu and click the “Tickets” tab.

  3. Next, select the “Pipeline” tab, then click “Create new pipeline”.

    Or you can click the ‘edit’ icon next to a previously created pipeline.

  4. Then, enter the Pipeline name and Stage order as needed, set the Stage name and Ticket progress for each stage.

  5. Next, click 0 field in the Required fields column to specify the columns (fields) that are mandatory at that stage.

  6. The list of fields on this page is grouped into categories: Created by Qontak, which contains system default fields, and Created by user, which contains custom fields. You can select fields from either category, then click the "+" icon to make them Required fields for the selected stage.

  7. After adding, the fields will appear in the Required fields list on the right. Then click "Save changes" to save your changes.

    If needed, click the “-” icon to remove a field.

  8. After the changes are successfully saved, the Required fields column on the selected stage will display the number of fields added. Hover over the number to see the list of Required fields applied to that stage.

B. Applying Required Fields in the Tickets Menu

  1. After configuring Required fields, you can return to the Tickets page. Then under All tickets, click on one of the tickets you have created.

  2. The required fields will be marked with an asterisk (*) on the ticket creation or editing form according to the selected stage.

  3. When you move (drag and drop) a ticket to another column in the Board View, the system will check if any required properties are not filled in. If there are, a pop-up like the one below will appear, asking you to complete those properties before the ticket is moved.
