How to Manage Your WhatsApp Business Profile

After your phone number has been successfully registered on the WhatsApp Business Platform, you can manage your business profile so customers can more easily recognize your business identity. This guide covers how to manage the Display Name, Business Profile, Official Business Account (OBA), Quality Rating, and Message Links.

A. Display Name

Display Name is the business name shown to customers in the WhatsApp chat window and notifications. With a Display Name, customers can recognize your business identity without needing to save your phone number first.

When a phone number is first registered, customers may still see your phone number instead of the Display Name. To have the Display Name show automatically in chats, make sure the following requirements are met:

  • Display Name is Approved or Name visible to customers on your WhatsApp Manager page.

  • Business Verification has been Verified.

  • The account has a message history and a good Quality Rating.

  • For Coexistence (COEX) numbers, you need to apply for Meta Verified so the Display Name can be reviewed by Meta.

If your Display Name is rejected by Meta, check the following:

  • Business Legal Name in the Business Info menu matches and is listed on your Website.

  • The Website listed in Business Info is correct and active.

  • The submitted Display Name is listed on the business website.

Display Name may be rejected by Meta for the following reasons:

  • Name mismatch, meaning it does not have a clear connection to the legal business name.

  • Name not listed on the website, so Meta cannot verify the business identity.

  • Inconsistent branding, for example, differences in business names on the website or other business assets.

If your Display Name is rejected, you can appeal by following these steps:

  1. Log in to Meta Business Portfolio, then open WhatsApp Manager.

  2. Submit the same Display Name again or use an updated name.

  3. If the submission is still rejected, contact the Qontak team for assistance in creating a ticket to Meta and include reasons and explanations supporting the use of that Display Name.

B. Business Profile

Business Profile is the business profile displayed to customers on WhatsApp, including address, website, business description, email address, and other information.

Each phone number has its own Business Profile, so the information displayed may vary for each number.

To manage your Business Profile, follow these steps:

  1. Log in to WhatsApp Accounts in Meta Business Portfolio.

  2. Select the WhatsApp Business Account (WABA) you want to manage, then click WhatsApp Manager.

  3. In the Phone numbers menu, select the phone number you want to update.

  4. Open the Profile menu, then edit the following information as needed:

    • Profile Picture

    • Display Name

    • Category

    • Description

    • Address

    • Email

    • Website

From the Profile page, you can also apply for an Official Business Account (OBA) by clicking Submit request, if this option is available on your account.

C. Official Business Account (OBA)

Official Business Account (OBA) is a WhatsApp Business account verified by Meta and marked with a blue checkmark badge. This indicates that the business account is official, helping to increase credibility and customer trust.

Official Business Account (OBA) Requirements

To apply for an Official Business Account (OBA), ensure the following requirements are met:

  • Comply with the WhatsApp Business Messaging Policy.

  • Phone number has been registered on the WhatsApp Business Platform for at least 30 days.

  • Display Name status is Approved.

  • Business Portfolio has completed Business Verification.

  • Two-Step Verification has been enabled on the phone number.

  • The business has a Notability level that meets Meta’s evaluation.

The phone number does not use Coexistence (COEX). For COEX numbers, OBA applications are not supported and you need to use Meta Verified.

All requirements and approval decisions for Official Business Account (OBA) are fully determined by Meta.

How to Apply for an Official Business Account (OBA)

Important
Since October 2025, Meta has imposed restrictions on OBA applications through BSP in several countries, including Indonesia and India, due to an increase in fraud reports. Therefore, OBA applications are now strictly limited by Meta through in-depth assessments, and not all applications can be processed until further notice.

To apply for an Official Business Account (OBA), follow these steps:

  1. Log in to WhatsApp Manager.
  2. Select the Phone Numbers menu, then choose the phone number you want to apply for.
  3. Open the Profile tab.
  4. In the Official Business Account (OBA) section, click Submit request to submit your application.

The Submit request button will only be available if your account meets the requirements set by Meta.

D. Quality Rating

Quality Rating reflects Meta’s assessment of the quality of messages sent from your phone number based on customer responses in the last 7 days, such as when customers block or report your business account.

The Quality Rating status includes:

🟢 High: The account quality is good and eligible to use certain features.

🟡 Medium: The account quality is starting to decline.

🔴 Low: The account quality is at a low level.

If your Quality Rating changes to Medium or Low, hover over the Quality Rating status in WhatsApp Manager to see the reasons and feedback from Meta.

Quality Rating can decline if customers provide negative feedback on messages sent, such as:

  • No longer wanting messages from the business.
  • Did not sign up.
  • Messages considered spam.
  • Messages considered offensive.
  • Other reasons.

By understanding these causes, you can evaluate your message templates and messaging strategies to maintain account quality.

E. Message Links

Message Links allow customers to start a conversation with your business via a link (wa.me) or QR Code. You can also add an automatic message (pre-filled message) that will appear in the chat box before the customer sends a message.

How to Create Message Links

  1. Log in to Meta Business Portfolio > WhatsApp Manager > Phone Numbers.

  2. Select the phone number you want to use.

  3. Click Settings, then select Message Links.

  4. Click Create message link.

  5. Enter a pre-filled message if desired.

  6. Click Save.

If the pre-filled message field is left blank, customers will be directed straight to the chat window without an automatic message.

Managing Message Links

After creating a message link, you can return to the Message Links page to:

  • Copy the wa.me link.

  • Download the QR Code.

  • Edit the pre-filled message.

  • Delete the Message Link or QR Code.
