Overview of Daily Email Campaign Quota

Starting September 15, 2025, the Daily Quota for Email Campaign delivery will officially take effect.

The purpose of implementing a daily limit is to help you maintain the quality of your email delivery by starting with smaller volumes. This is important because the subdomain and email sender used in Email Campaigns are new emails registered during the integration process with Qontak.

Why Should Email Delivery from a New Subdomain Start Small?

Using a new subdomain for email delivery is not recommended in large volumes right away. This is because email providers (such as Gmail, Yahoo, and Outlook) apply strict spam filtering systems.

If a new subdomain sends emails in high volume without an established sending reputation, there is a high risk that emails will be marked as spam, rejected, or even cause the subdomain to be blacklisted.

Therefore, the recommended best practice is to perform domain warm-up by gradually increasing the email sending volume.

Key reasons why gradual scaling is necessary:

  1. Build sending reputation.
    Small and consistent sending volumes help email providers recognize the subdomain as a legitimate and trustworthy sender.

  1. Avoid mass delivery failures.
    Sending in smaller volumes minimizes negative impact if there are invalid email addresses (bounces).

  1. Align with recipient engagement.
    Email providers monitor recipient engagement (e.g., open rate). Gradual delivery allows you to evaluate the quality of your recipient list before scaling to a larger audience.

  1. Ensure scalable delivery.
    With a good reputation, daily sending capacity can be safely increased without the risk of damaging your reputation. Learn how to request a quota increase here.

A. Key Differences Before and After Daily Quota Enforcement

Here is a summary of the differences in quota information before and after the implementation of daily quotas in Qontak:

Quota will reset on the 1st of every month, with a postpaid billing scheme based on invoices from Qontak’s billing team.

For example, a display of 8/80 means that 8 quotas have been used out of a total of 80 monthly quotas available.

The quota reset schedule and the billing system remain the same as before.

Kuota harian Not available. Shows remaining daily quota available for the same day.

Quota resets every day at 07:00 AM (WIB).

Important
- Each email sent is charged at a rate of IDR 21 per email. The invoice will be issued at the beginning of the following month, between the 1st and 10th, based on the number of email quota used.
- If your invoice amount is below IDR 5,000, the charge will be combined with the billing for the next usage period.
- The billing email will be sent to the email address registered as the billing PIC, with the subject Sales Invoice #{Invoice Number} {Your Company Name}.
- Requests related to increasing daily or monthly top-up quotas are free of charge. Charges apply only based on the number of Email Campaign quotas used.

B. How to View Daily and Monthly Email Campaign Quotas

Each account will receive a default daily quota of 4,000 emails, with a monthly quota of 10,000 emails.

The impact of the daily quota implementation is as follows:

  1. If you have a daily quota of 4,000 and a monthly quota of 10,000, you can only send emails to a maximum of 4,000 recipients per day

  2. If your remaining monthly quota is smaller than your daily quota (for example, only 1,000 left), and you have not sent any emails on that day, you can only send emails to a maximum of 1,000 recipients for that day.

Important
Your daily quota may be reduced if your email performance is poor — e.g., if many emails are marked as spam and/or reported by recipients. Please review your campaign strategy and recipient list before proceeding with future campaigns. 

If performance improves, you may request a quota increase via the procedure below.

On the campaign creation page, you will see the following information.

Shows remaining daily Email Campaign quota available for that day.

Important
You can only send campaigns if the recipient list does not exceed your remaining daily quota.

 

If the recipient list exceeds the daily quota, you will see an error message and cannot proceed.

2 Monthly email usage

Shows total monthly Email Campaign usage, which will be billed monthly.


Here is the list of Email Campaign statuses that will deduct from your email quota:
a. Pending: the email message has entered Qontak’s mail server. 
b. Delivered: the email message has been received by the recipient’s mail server.
Open: the email message has been opened by the recipient.
Note:
Emails that land in the spam folder cannot be tracked as “open” because trackers are usually blocked by the recipient’s mail server.
c. Bounced: the email message failed to be delivered, for example because the email address was not found.

3 Top up quota

Click “Top up quota” to be redirected to Qontak WhatsApp Support for quota increase requests (daily/monthly).

C. How to Request Quota Top-Up for Email Campaign

You can request additional daily or monthly quota via Qontak Support. Requests are processed within 2x24 hours. Adjustments apply for the next period. Anda dapat melakukan pengajuan penambahan kuota harian dan bulanan melalui tim support Qontak

Important!
Before submitting a top-up request, make sure that:
1. You do not have a history of emails frequently marked as spam/reported, and Qontak has not reduced your daily quota within the past month
2. Your remaining quota has reached 5% of your base daily/monthly quota.
Example: If your monthly quota is 10,000, you may request a top-up once it reaches 500 remaining. (Negotiable depending on needs you state in the request) 
3. Plan your campaign schedule to avoid repeated requests. A maximum of 2 quota increases per month is allowed.

Requests may be rejected if:

1. The sender’s email reputation is poor.
2. The remaining quota is still sufficient to cover your current month/day’s campaign needs.

- Sender email: insert sender email used for campaign.
- Remaining quota:  insert remaining daily/monthly quota as of request date, can be checked on Create Campaign page.
- Additional quota requested: insert number.
- Reason for quota increase: attach campaign plan explanation for consideration.

If you need both daily and monthly quota increases, you may combine the requests in a single email. Please ensure that you specify each quota type clearly.
